This Privacy policy explains what personal information ArchiFlow Builder Company ("we", "us") collects when you use ArchiFlow Builder, why we collect it, and your choices. We wrote it in plain language. If you have a question, write to [email protected].
1. Two kinds of information
- Account information: details about the office and the people who use ArchiFlow Builder, which we need to run the service and to bill you. We decide how this is used.
- Office content: everything an office uploads or enters about its projects, clients, contractors and staff. The office decides what goes in and how it is used. We only store and process it for the office, following its instructions. If you are a client or contractor of an office and have a question about your details, please contact that office first.
2. What we collect
- Office owner and team: name, email, phone, country, office name, job role, password (stored only in encrypted form, never readable), language and display preferences.
- Clients and contractors invited by an office: name, email, phone, and what they do in their portal (approvals, comments, signatures, bids, site diary entries).
- Subscription and payments: plan, invoices, the payment method you chose, and the transfer or receipt reference you send us. We do not receive or store card numbers.
- Technical information: IP address, browser type, sign-in times, and an activity log of important actions in the office. When someone signs a document, we save their name, the time, their IP address and a fingerprint of the document as proof of the signature.
- Messages you send to our support.
3. Why we use it
- To create and run your office, sign you in and keep accounts secure.
- To send service emails: setup links, reminders, invoices, payment confirmations, security alerts and important changes.
- To provide support when you ask for it.
- To keep backups, prevent misuse and fix problems.
- To meet legal and accounting duties.
We do not sell personal information, and we do not use your office content for advertising.
4. Cookies
We use only the cookies needed for the website to work:
- a session cookie that keeps you signed in;
- a cookie that remembers which office you use;
- cookies that remember your language and light or dark mode.
We do not use advertising or tracking cookies. Our pages load their fonts from Google Fonts, which means your browser connects to Google's servers to download them.
5. Who can see the information
- The office: the owner and team members see what their role allows. Clients and contractors see only what the office shares with them.
- Us: only when needed to provide support, fix a problem, or when the law requires it.
- Service providers who help us run the service, only for that purpose: Namecheap (servers in the United States) and Cloudflare, and our email provider.
- Authorities, only when the law requires it or to protect the rights and safety of users and the service.
- If our business is sold or merged, the information may move to the new owner under this same policy, and we will tell you.
6. Where it is stored
Information is stored on servers of our hosting provider (Namecheap (servers in the United States) and Cloudflare), which may be outside your country. Each office has its own separate database and its own folder for files. We take reasonable steps so that information is protected wherever it is stored.
7. How we protect it
- Encrypted connections (HTTPS) between your browser and our servers.
- Passwords stored only as secure hashes. Optional two-step sign-in.
- Every office separated in its own database; private files cannot be opened without permission.
- Regular backups, security updates and limited staff access.
No system is completely secure. If a breach affects your personal information, we will tell the affected office owners without undue delay and explain what we are doing about it.
8. How long we keep it
- While your subscription is active, we keep your information.
- After it ends, the office stays in read-only mode for at least 60 days so you can download your data. After that we may delete it, and we notify the owner first.
- When an office is deleted, a final backup may be kept for up to 30 days, then it is erased.
- Invoices and payment records may be kept longer when tax or accounting law requires it.
9. Your rights
You can ask to see, correct, download or delete your personal information, or object to a use of it. Most of this you can do yourself: edit your profile, or have the office owner download a full backup from Settings. For anything else, write to [email protected]. We may ask you to confirm who you are, and we will answer within 30 days. If you live in a country whose law gives you more rights, we respect those rights.
10. Children
ArchiFlow Builder is a professional service for businesses. It is not intended for anyone under 18, and we do not knowingly collect information about children.
11. Changes to this policy
If we change this policy in an important way, we will tell office owners by email or inside the service before the change applies. The date at the bottom shows the latest version.
